Some profile fields may be entered directly by You. Others may be suggested or structured automatically from information You submit.

3. Assessment and Matching Data

If You complete onboarding questionnaires or assessments, We may collect:

  • Your responses;
  • completion status and timestamps;
  • derived behavioral or communication-style indicators;
  • fit dimensions and internal scoring outputs;
  • match scores and ranking information; and
  • machine-generated summaries or structured outputs derived from that data.

This data is used to support recruiting and matching workflows. It is not intended to constitute medical, clinical, or psychological diagnosis.

If You use the Service on behalf of an Organization, We may collect:

  • organization name, slug, branding assets, and profile information;

  • job postings, role requirements, filters, and weighting preferences;
  • pipeline and shortlist activity; and
  • billing or company information where relevant to commercial use of the Service.

  • the contents of those communications;
  • support history;
  • feedback provided to Us; and
  • operational metadata needed to respond to Your request.

6. Usage Data and Technical Data

We collect Usage Data automatically when the Service is used. This may include:

  • device and operating system information;
  • pages viewed, routes visited, and time spent;
  • referrer and UTM campaign information;
  • event logs, feature-flag exposures, and interaction metadata; and
  • crash, exception, and diagnostic data.

How We Collect Data

We collect personal data:

  • directly from You when You register, edit a profile, complete assessments, create a job, or contact Us;
  • automatically through cookies, local storage, analytics tooling, logs, and similar technologies;
  • from third-party login providers if You choose social sign-in; and
  • through automated extraction, normalization, or enrichment processes applied to information You submit.

For example, if You provide CV-style or profile information, parts of that information may be transformed into structured fields, embeddings, suggestions, or matching signals to support platform functionality.

How We Use Personal Data

We may use personal data to:

  • create and manage Accounts;
  • operate the Service and provide its features;
  • authenticate users and secure workspaces;
  • build and maintain candidate profiles and Organization workspaces;
  • generate match scores, recommendations, and other recruiting workflow outputs;
  • let Organizations review relevant candidate information inside the platform;
  • send transactional emails such as verification, invitations, notifications, or support responses;
  • analyze product usage, measure feature performance, and improve reliability;
  • investigate abuse, misuse, fraud, or security incidents;
  • comply with legal obligations; and
  • establish, exercise, or defend legal claims.

We do not sell personal data.

Legal Bases for Processing

If the GDPR, UK GDPR, or similar law applies to You, We rely on one or more of the following legal bases:

  • Performance of a contract — where processing is necessary to provide the Service You requested, such as account creation, authentication, candidate onboarding, or recruiter workspace features.
  • Legitimate interests — where processing is necessary for platform security, service improvement, product analytics, matching workflow support, abuse prevention, or internal administration, provided those interests are not overridden by Your rights and freedoms.
  • Consent — where We ask for consent, or where consent is required by law for a particular processing activity.
  • Legal obligation — where We must process data to comply with applicable law or a lawful request.

Where We rely on consent, You may withdraw that consent at any time. Withdrawal does not affect processing carried out before withdrawal.

Automated Processing, AI, and Matching

Seekiteazy uses automated and semi-automated processing to help structure profiles, generate suggestions, and support matching between candidates and roles.

This may include:

  • extracting or normalizing profile information;
  • generating semantic representations such as embeddings;
  • producing fit dimensions such as technical, cultural, or personality alignment;
  • generating match scores or rankings; and
  • producing summaries or suggestions to improve the product experience.

These outputs are used as decision-support tools. Seekiteazy does not make final hiring decisions on behalf of Organizations.

If You are a Candidate, Organizations using the Service may review profile information together with platform-generated matching outputs. Those Organizations remain responsible for their own recruiting and hiring decisions.

If applicable law gives You rights in relation to this type of processing, You may contact Us to request more information or human review.

Who We Share Data With

We may share personal data in the following situations:

With Organizations and Recruiters

If You are a Candidate, relevant profile data and matching outputs may be made available to Organizations using the Service for recruiting purposes. This can include profile fields, assessments-derived indicators, and job-specific match information.

We do not intend to expose all internal data to Organizations. Raw assessment responses, internal moderation signals, and internal scoring parameters may be withheld, limited, or transformed.

Once an Organization accesses candidate data through the Service for its own recruitment purposes, that Organization may act as an independent controller of that data under applicable law.

With Service Providers

We may share personal data with Service Providers that help Us operate the Service. Examples of providers We currently use or may use include:

  • hosting and infrastructure providers, including Railway;
  • database and object storage providers, including PostgreSQL and S3-compatible storage infrastructure;
  • email delivery providers, including Resend;
  • analytics and product instrumentation providers, including PostHog;
  • error monitoring and observability providers, including Sentry;
  • AI service providers, including OpenAI, for embeddings, extraction, normalization, summarization, or similar platform-assistance features; and
  • payment providers, including Stripe, where paid products or subscriptions are offered.

We may update Our providers over time as the product evolves.

For Legal and Business Reasons

We may disclose personal data:

  • where required by law or legal process;
  • to enforce agreements or protect rights, safety, or the integrity of the Service;
  • in connection with a merger, acquisition, financing, or sale of assets; or
  • with Your consent, where We ask for it.

Cookies, Local Storage, and Analytics

We use cookies and similar technologies for several reasons:

  • essential session and authentication cookies to keep users signed in and protect the Service;
  • product analytics cookies or identifiers to understand usage and improve the Service; and
  • local storage or similar browser storage to preserve settings, in-product state, or assessment-progress continuity where relevant.

Seekiteazy currently uses PostHog for product analytics and feature-flagging. That means the Service may store analytics identifiers or related cookies on Your device.

You can control cookies through Your browser settings, but disabling essential cookies may prevent some parts of the Service from functioning properly.

Data Retention

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Service, comply with legal obligations, resolve disputes, and protect the integrity of the platform.

In general:

  • account and workspace data is retained while the relevant account remains active;
  • candidate and recruiter workflow data may be retained for a reasonable period after inactivity to support continuity, auditability, and legitimate business needs;
  • support and operational records may be retained for follow-up, compliance, and security purposes; and
  • aggregated or anonymized information may be retained longer where it no longer identifies You.

If You request deletion, We will act on that request in accordance with applicable law and Our legitimate retention obligations. For deletion requests, You can contact [email protected].

International Transfers

Personal data may be processed in countries other than the country where You are located.

If We transfer personal data outside the European Economic Area, the United Kingdom, or another jurisdiction with comparable transfer restrictions, We will take appropriate safeguards where required by law, such as contractual protections or other recognized transfer mechanisms.

Security

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, and disclosure.

Those measures may include access controls, authentication protections, monitoring, auditing, and secure infrastructure practices appropriate to the nature of the data and the Service.

No system is perfectly secure, and We cannot guarantee absolute security.

Your Rights

Depending on the laws that apply to You, You may have the right to:

  • access the personal data We hold about You;
  • correct inaccurate or incomplete personal data;
  • request deletion of personal data;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • request portability of certain data; and
  • lodge a complaint with a competent supervisory authority.

We may ask for additional information to verify Your identity before responding to certain requests.

Children's Privacy

The Service is not intended for children under 16.

If We become aware that We have collected personal data from a child in a way that violates applicable law, We will take steps to delete that information.

Links to Third-party Sites

The Service may contain links to websites or services that We do not control. We are not responsible for the privacy practices of those third parties, and We encourage You to review their policies before interacting with them.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

If We make material changes, We may notify users through the Service, by email, or by other reasonable means before those changes take effect. The "last updated" date at the top of this page reflects the latest version.
